1. Information We Collect
CareerDiary collects information you provide directly to us when you create an account, use our services, or communicate with us. This may include your name, email address, career information, resumes, and job applications.
Our free ATS resume scan — whether run on this site or through our public scan API (for example, via the CareerDiary assistant in third-party AI chat tools) — processes your resume text transiently in memory to compute the result. The text is never stored, and our server logs record only metadata (such as text length and score), never resume content.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Generate AI-tailored resumes and cover letters
- Send you technical notices and support messages
- Respond to your comments and questions
- Analyze usage patterns to improve user experience
3. AI Processing (Google Gemini)
Our AI features — reading and tailoring resumes, cover letters, interview prep, rewrites and the career assistant — are powered by Google's Gemini model. When you use one, the text it needs is sent from your browser to our server, and from our server to Google's Gemini API, which returns the result. We never send it from your browser to Google directly.
When you upload a file, the text is pulled out of it in your browser, and as a guest the file itself is not stored. If a PDF has no selectable text (a scan), your browser may send images of its pages to our server so the text can be read; they are not stored. To read and tailor your resume we send its text and the job description to our server and on to Google's Gemini model, with your email address and phone number masked first.
As a guest, your tailored resume is not saved on our servers: your profile stays in your browser and the result is cleared when you close the tab. With a free account, your resume and tailored versions are saved to your account so you can come back to them.
The free ATS resume checker scans your resume in your browser without an AI model. Its one optional AI rewrite sends a single bullet (up to 350 characters) and up to 500 characters of the job description to Gemini, and nothing from that request is stored.
4. Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:
- With your consent
- To comply with legal obligations
- To protect our rights and prevent fraud
- With Google, whose Gemini API runs our AI features, as described in the AI Processing section
- With service providers who assist in our operations (under strict confidentiality)
5. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure.
6. Your Rights
You have the right to:
- Access and receive a copy of your personal data
- Correct inaccurate or incomplete data
- Request deletion of your data
- Object to or restrict certain processing
- Export your data in a portable format
7. Cookies and Tracking
We use cookies and similar tracking technologies to track activity on our service and hold certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent.
8. Children's Privacy
Our service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18.
